How to Plan Your Day in Notion: A Simple Daily Planning System

By DigiCools Team ·

Notion can do almost anything, which is exactly why many people end up with complicated setups they stop using after a week. A daily planning system should be small enough that you open it every morning without thinking.

This one has three parts.

1. A single task inbox

Create one database called Tasks with a few properties:

  • Status: Inbox, Next, Doing, Done
  • Due date
  • Project (optional)
  • Priority: High, Medium, Low

Every new task goes in as "Inbox" — from meetings, emails, ideas — so nothing lives only in your head.

2. A short daily plan

Make a Today page with three sections.

Top 3 priorities

Pick no more than three tasks that would make the day a success. If everything is a priority, nothing is.

Time blocks

Block time in your calendar for the top three first. A simple block list on the page helps:

  • 09:00–10:30 — Priority 1
  • 11:00–12:00 — Priority 2
  • 15:00–16:00 — Priority 3

Everything else

Add a linked view of the Tasks database filtered to "Next" and due today. Work on these only when the top three are done or blocked.

3. A five-minute end-of-day review

At the end of the day, answer three questions on the same page:

  1. What did I finish?
  2. What is carried over to tomorrow, and why?
  3. What is the first thing I will do tomorrow morning?

Then move unfinished tasks back to "Next" with a new date. This short review is what makes the system work — it closes the day and sets up the next one.

Tips to keep it simple

  • Plan the night before if your mornings are busy.
  • Limit properties. Every extra field is something you have to fill in.
  • Review weekly. Once a week, clear the inbox and look at upcoming deadlines.
  • Use templates. A Notion template button can create a fresh Today page with one click.

A ready-made starting point

If you would rather not build it from scratch, our Notion templates include a daily planner (priorities, schedule, habits and a weekly review, in Notion and as a printable PDF) and a project management workspace you can duplicate into your own Notion.
