What Is an AI Agent? A Plain-English Guide for Small Businesses

You have probably used an AI chatbot: you ask a question, it answers. An AI agent goes a step further. You give it a goal, and it works through several steps to reach it — for example reading inputs, deciding what to do next, using tools, and producing a finished result for you to review.
Chatbot vs. AI agent
- Chatbot: "Write a product description for this item." One request, one answer.
- AI agent: "Research these five competitor pages, summarise their key topics, and draft a content brief for our article." Several steps, guided by a goal and a set of instructions.
In practice, many "agents" are a well-designed set of instructions, examples and step-by-step workflows that you run in an AI tool such as ChatGPT, Claude or Gemini.
Where AI agents help small businesses
Good first uses are tasks that are repetitive, text-heavy and easy to check:
- Content briefs: collecting topics and questions to cover before writing an article.
- Social media planning: turning a monthly theme into a draft posting calendar.
- Lead qualification: sorting enquiries by your own criteria so you reply to the best fits first.
- Document summaries: pulling key points, dates and obligations out of long PDFs.
What they are not good at
- Facts they cannot check. AI can state wrong information confidently. Verify numbers, names, prices and anything legal or financial.
- Final decisions. Use agents to prepare drafts and shortlists; keep a person responsible for the decision.
- Private data. Do not paste confidential customer or company information into tools you have not approved for that purpose.
How to start safely
- Pick one task that takes you time every week.
- Write down how you do it today, step by step, including what "good" looks like.
- Run the agent on a few real examples and compare the output with your own work.
- Keep a human review step before anything is sent to a customer or published.
- Improve the instructions whenever you correct the same mistake twice.
